A discount-approval workflow starts when a representative requests a concession outside their delegated authority. It ends when an identifiable quote is authorized, rejected or returned for revision. A general message approving the deal is insufficient if the quoted values later change.
This guide chooses software for the exception handoff. The organization owns its commercial policy, pricing strategy and approval authority. No margin improvement or faster sales outcome is claimed.
Bind the decision to the requested terms
Capture the quote reference, requested concession, rationale and proposed customer-facing terms. The relevant approver needs enough context to decide the exception. Avoid collecting unrelated prospect information merely because the CRM has fields for it.
| Stage | Next owner | Record passed forward |
|---|---|---|
| Submit exception | Commercial reviewer | Quote version and requested concession |
| Check authority | Process rule or coordinator | Required decision-maker |
| Review request | Authorized approver | Outcome, conditions and rationale |
| Revise terms | Representative | New version requiring the appropriate review |
| Release quote | Quote owner | Authorized values and conditions |
The tool represents the policy. It should not invent an authority threshold or treat the vendor’s example threshold as your own.
Quote-native and separate approval routes
Salesforce documents Advanced Approvals in a quote, with edition and enabled-feature requirements. It is a candidate where the proposed quote environment already includes that capability. Confirm the actual Salesforce product and package; “Salesforce supports approvals” is not a complete entitlement statement.
DiscountFlow describes a dedicated sales-discount approval route on its official site. Its manager-routing and quote-oriented descriptions are supplier claims. Request documentation and a demonstration of the proposed connection to your quoting record before assuming that an approved request constrains the quote sent to a customer.
A separate approval system may be proportionate when the quoting tool cannot express the organization’s authority model. It also introduces another record to reconcile. A native quote approval is preferable when it already represents the requested terms and decision sufficiently.
If the problem starts before an exception is requested, compare quoting tools for customer-specific price books. Applying an agreed account price correctly is a different requirement from authorizing a discretionary discount on top of it.
Evaluate a changed quote after sign-off
Use a synthetic quote and request an exception. Obtain the decision, then change a line item or term. Ask the vendor to show whether the approval applies to the earlier version, the changed quote or neither.
Include a conditional decision: the approver allows a concession only with a defined term. Ask the representative to identify that condition before release. If the workflow records it only as an unstructured comment, decide whether the quote owner can maintain it reliably.
Also include an unavailable approver. Inspect delegation and pending work without assuming that a broader administrator role is necessary for ordinary cover.
End with an authorized record
The terminal result should identify the quote that may be sent. A notification can alert the representative, but the authoritative terms should remain inspectable after the message is gone.
